Managing site access in a busy warehouse is harder than it looks

Warehouses and distribution centres have a constant flow of contractors, delivery drivers, and visitors through their doors. Without a system, that flow is unmanaged — and your duty of care under HSWA 2015 is difficult to demonstrate.

High contractor turnover

Multiple contractors, delivery drivers, and visitors arriving throughout the day with no consistent sign-in process — making it impossible to know who is actually on site at any given time.

No compliance visibility

No way to verify whether contractors have completed site inductions or hold required certifications before entering. Without a system, someone has to manually check — and that check often doesn't happen.

Evacuation accuracy

Paper sign-in books left at reception or never filled in mean your evacuation roll is always out of date. In an emergency, you need to know exactly who is inside your facility — not approximately.

WorkSafe audit exposure

Without records of who has been on site and when, meeting your HSWA duty of care is difficult to demonstrate. A WorkSafe audit that reveals gaps in your access records can have serious consequences.

Health and Safety at Work Act 2015 — what it means for warehouses

Under the HSWA 2015, warehouses and distribution centres operating as PCBUs (persons conducting a business or undertaking) have a primary duty to ensure the health and safety of workers and others on their premises. This includes contractors and sub-contractors working in your facility, as well as the delivery drivers and visitors who pass through your gates each day. Managing their access, verifying their compliance status, and maintaining an accurate evacuation list are all practical expressions of that duty. WorkSafe New Zealand provides guidance on PCBU responsibilities under the Act.

Every feature your warehouse needs

SiteKey includes the tools warehouse and logistics managers actually use — not enterprise features that require an IT team to configure.

QR pass check-in — no app required

Every contractor, driver, and visitor gets a unique QR pass. They scan it on arrival and departure using any smartphone camera. Nothing to download, nothing to forget.

Compliance gate for inductions and certifications

SiteKey checks compliance status at the point of check-in. Contractors who haven't completed your site induction or hold required certifications are flagged before they enter.

Live evacuation list

A real-time list of every person currently on site, accessible from any phone or tablet. In an emergency, your team knows exactly who to account for.

Visitor self-registration at reception

Visitors who aren't pre-registered can self-register on a shared tablet or device at reception. Their visit is logged and any required declarations captured automatically.

Delivery driver management

Regular delivery drivers can be pre-registered with a QR pass for fast check-in. New drivers self-register at reception. All visits are time-stamped and stored.

Automatic sign-out at end of day

If someone forgets to check out, SiteKey automatically signs them out at the end of the working day — keeping your occupancy records accurate without manual intervention.

Up and running before your next shift

No IT project. No lengthy onboarding. Most warehouse customers are live within two to three days.

1

We configure your site

Tell us about your warehouse, your contractor categories, and your compliance requirements. We configure SiteKey to match — compliance gates, sign-out rules, and admin access.

2

Register your contractors and staff

Import your contractor list or let them self-register. Each person gets a QR pass by email. Regular delivery drivers can be pre-registered for fast check-in from day one.

3

Your warehouse runs itself

People scan in and out. Compliance is checked automatically. Your evacuation list is always current. You get on with running your operation.

"We needed something that actually worked on a building site — not an office lobby system that cost a fortune and needed an IT team to set up. SiteKey was running within a couple of days."

Warehouse site access management — answered

Do NZ warehouses need site access management software? +

Under the Health and Safety at Work Act 2015, warehouses and distribution centres operating as PCBUs have a duty to manage the health and safety of everyone on site — including contractors, delivery drivers, and visitors. Maintaining accurate site access records and a current evacuation list is a core part of meeting that duty. Site access management software automates this process, replacing unreliable paper sign-in books with a real-time digital record that can be produced in the event of an audit or emergency.

How does SiteKey handle delivery drivers who visit regularly? +

Regular delivery drivers can be pre-registered in SiteKey, so they receive a QR pass by email. On arrival they scan the QR code using any smartphone camera — no app required. For new or infrequent delivery drivers, SiteKey supports visitor self-registration at reception, where they can enter their details and complete any required declarations on a shared device or tablet. All visits are logged with time-stamps.

Can SiteKey manage both permanent staff and contractors? +

Yes. SiteKey manages all categories of people on your site — permanent staff, contractors, sub-contractors, delivery drivers, and visitors. Different compliance requirements can be set for different categories. For example, contractors may need to complete a site induction and hold a current certification before checking in, while visitors may only need to complete a brief visitor declaration.

How does the compliance gate work for warehouse inductions? +

SiteKey checks each person's compliance status at the point of check-in. If your warehouse requires contractors to complete a site-specific induction before accessing the facility, SiteKey will flag anyone who has not done so — they cannot proceed with check-in until the requirement is met. This removes the manual verification step from your reception or site manager and ensures no one enters your warehouse without meeting your induction requirement.

What happens when a contractor's certification lapses? +

SiteKey tracks certification expiry dates for each registered contractor. When a certification lapses, SiteKey marks the contractor as non-compliant. If the compliance gate is set to require that certification, the contractor will be unable to check in until a current certification is recorded. Site administrators receive notifications about upcoming expiry dates, giving time to follow up before the certification lapses.

How much does SiteKey cost for a warehouse? +

SiteKey is a flat monthly fee — no per-user charges and no per-scan costs. Pricing starts from $30/month. The more people use it, the better value it becomes. See full pricing on the SiteKey homepage.
