Contractor sign in for New Zealand worksites

By Gordon Findlay · Updated 27 October 2026

SiteKey is a contractor sign in app for New Zealand worksites. A contractor scans the QR code at the gate with their phone camera, and SiteKey checks their site induction and any training you require before it lets them sign in. Anyone with something missing or expired is stopped at the gate and told what it is. Everyone who signs in goes onto a live on-site list, which is also your evacuation list. A worksite costs $50 a month excluding GST, with no charge per contractor and no cap on sign ins.

What contractor sign in has to cover on an NZ site

Under the Health and Safety at Work Act 2015, the business running a site owes a duty to the contractors working on it, so far as is reasonably practicable. Where more than one business works on the same site, each holds duties and they are expected to consult, cooperate and coordinate with each other. A sign in record shows who was on site and when, and what they had done before starting.

For a contractor, sign in usually needs to cover:

  • who they are and which company they work for
  • whether they have done your site induction, and whether it is still current
  • any training or tickets the work needs, such as a forklift licence or working at height
  • the hazards on site, and their acknowledgement of them
  • the time they arrived and the time they left

Our guide to HSWA site access obligations covers the duties in more detail, and how long to keep sign in records covers retention.

How contractor sign in works with SiteKey

Contractors use their own phone. There is no app to download and no account to create.

1

Register before the first visit

The contractor registers online, completes your site induction and, if you use it, the WorkSafe WKS-14 pre-qualification form. Each person gets a personal QR pass by email.

2

Scan at the gate

On arrival they point their phone camera at the QR sign at the gate, or scan their pass at a kiosk. The sign in form opens in the phone browser.

3

The gate check

SiteKey checks the induction and the training you have set for that site. If something is missing or expired, the sign in does not go through and the screen says what is needed. The hazards you have listed are shown again.

4

On site, then off again

They appear on the live on-site list with name, company and time in. They sign out as they leave, and anyone who forgets is signed out at the end of the day.

Blocking a sign in and recording one

Most sign in systems record what happened. A contractor reads a notice, ticks a box and signs in, and the system keeps that record. Some send an alert to the host when an answer looks wrong. SiteKey stops the sign in itself when the induction or required training is missing. The contractor has to sort it out before going on site.

Our comparison of NZ contractor and visitor sign in systems sets out what each provider says happens at sign in, using each company's own website.

Contractor sign in pricing

SiteKey is priced per site, so the bill stays the same however many contractors sign in. A worksite is $50 a month, an office is $30 a month, and each extra site is $10 a month, all excluding GST. Setup is a fixed price we quote for your site. Some systems price by contractor numbers or cap the sign ins in a year, so if your contractor numbers rise in a busy season, ask each provider what you would pay in that month. Full pricing is on the homepage.

Common questions

What is a contractor sign in system? +

A contractor sign in system replaces the paper sign in book for contractors arriving on a site. It records who arrived, which company they work for, and when they left. Some also check inductions and training before the person goes on site. SiteKey runs this through a QR code the contractor scans with their own phone.

Do contractors need to download an app to sign in? +

No. The QR code opens the sign in form in the phone browser. There is nothing to install and no account to create. Contractors can also scan a personal QR pass at a kiosk.

Can SiteKey stop a contractor who has not done the induction? +

Yes. If the induction or training you require for that site has not been completed, or has expired, the contractor cannot sign in. The screen tells them what is missing.

What happens if a contractor forgets to sign out? +

SiteKey signs out anyone still signed in at the end of the day.

Can contractors register before they arrive? +

Yes. Contractors register online, complete your induction and, if you use it, the WorkSafe WKS-14 pre-qualification form before their first visit. They arrive with a QR pass ready to scan.

How much does contractor sign in software cost in New Zealand? +

NZ providers price contractor sign in by site, by staff member, by user or by number of visits, and SiteConnect and VisTab quote on request. SiteKey is $50 a month for a worksite, excluding GST, with no limit on contractors. Each one is listed in our comparison.

Does SiteKey work across more than one site? +

Yes. Each site has its own QR signs, induction rules and on-site list, and one central view shows every site. Each extra site is $10 a month, excluding GST.

What records does SiteKey keep for each contractor sign in? +

Each sign in is stored with the person, their company, the site, the time in and out, and their compliance status when they entered. Records can be exported from the admin dashboard.
